Executive Administrative Assistant
Key Responsibilities
Provide high-level, confidential administrative support to senior leadership in a dynamic global environment.
Expertly manage complex calendars, prioritize competing demands, and coordinate internal and external meetings with exceptional attention to detail.
Prepare and process expense reports and invoices in compliance with company policies.
Support and coordinate special projects and strategic initiatives on behalf of senior leadership.
Arrange and manage executive travel logistics, including accommodation, visas, and detailed itineraries, in coordination with the global travel manager.
Provide administrative support to the Finance function, including coordination of leadership meetings, agenda preparation, material collection, attendance tracking, and follow-up on action items and deliverables.
Support the planning and execution of departmental events and activities.
Coordinate and support leadership meetings, management forums, conferences, offsites, and corporate events, including logistics, communications, materials, and follow-up activities.
Provide administrative and coordination support to the Strategy & Executive PMO function, including meeting management, preparation of materials, and follow-up on strategic and cross-functional initiatives.
Collaborate with Marketing, Corporate Communications, and PR teams on conferences, external events, and executive engagements, supporting logistics, schedules, and communication materials.
Qualifications & Skills
At least 5 years of proven experience as an Executive Administrator supporting senior leadership, preferably in a fast-paced global environment.
Native-level Hebrew and fluent English, both written and spoken. Spanish is an advantage.
High proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
Experience working with SAP systems is an advantage.
Exceptional organizational and time management skills with strong attention to detail.
Proven ability to handle sensitive and confidential information with the highest level of discretion and professionalism.
Strong interpersonal and communication skills, with the ability to build effective relationships with colleagues, managers, and external stakeholders.
Proactive, resourceful, and self-motivated, with the ability to anticipate needs and solve problems independently.
Flexibility in working hours and availability for occasional after-hours support.
